Introduction

This tool available on cPanel lets you view the quota of all your mailboxes and delete certain e-mails. You can delete the oldest and the largest e-mails.

Requirements

- You must have a cPanel or Cloud cPanel package.

1. Log in to your LWS customer area.

2. Access your cPanel interface.

3. Click on the"Email Disk Usage" button in the"Email" section of your cPanel interface.

4. In the "Account" drop-down window, find the email box for which you want to check the email quota for each folder.

You will find a summary for each email address containing :

  • Mailbox Name: The name of the folders in the mailbox;
  • Of Messages: the number of e-mails per folder;
  • Disk Usage: The quota used by each directory of the e-mail address concerned. The quota is defined in KB, MB or GB.
  • Action: allows you to perform deletion actions on the directory concerned.

5. If you want to delete e-mails from one of the folders concerned, click on the"Manage" tab behind the directory concerned.

6. Select one of the following deletion options from the menu:

  • 1 year old or more: 1 year or more ;
  • 30 MB in size or more;
  • Previously viewed: Marked as read ;
  • All messages: All messages;
  • Custom query. This query allows you to customise your delete option by specifying the format of the search query you want. For example, if you want to delete all e-mails larger than 10 MB, select this option and enter the value "larger 10M" in the Text box.

7. Click on the"Delete Permanently" button to delete the e-mails concerned.

Please note that deleting emails is permanent and irreversible. For this reason, you need to be very careful about what you delete

What different formats can be used?

As indicated, it is possible to customise your email deletion option by specifying a desired search query format. Among the formats, you can find the following:

  • savedbefore: corresponds to alle-mails saved before the specified date. For example, you can specify savedbefore 2weeks if you want to delete all emails older than 2 weeks. You can also delete emails older than 7 days by specifying savedbefore 7days.
  • savedon: Allows you to delete e-mails saved on a specific date. For example, you can delete e-mails from 15 August 2022 using the query savedon 15-Aug-2022.
  • savedsince: corresponds to e-mails with a date on or after the specified date. You can therefore delete messages from 15 August 2022 as well as all e-mails received after this date using the savedsince 15-Aug-2022 request.

As far as specifying dates is concerned, it works as follows:

  • day: there is no difference, the day is specified as a number, from 1 to 31;
  • Month: the name of the month is abbreviated and in English. The months are as follows: Jan, Feb, Mar, Apr, May, Jun, Jul, Aug, Sep, Oct, Nov, Dec;
  • Year: you will need to enter the 4 digits of the year in question, for example 2022.

You can also delete e-mails by size. The following sizes can be used:

  • B: Byte;
  • k: Kilobyte;
  • M: Megabyte
  • G: Gigabyte

If you want to delete an email larger than 1 GB, the request will be larger 1M or larger 1024k.

Conclusion

You can now check your mailbox quota and delete the oldest emails in each of your mailboxes.
