What is the email accounts tool?

Thanks to the Email Accounts tool available on cPanel, you can create and manage personalised email addresses.

The tool allows you to manage existing email addresses such as:

  • Changing email address quotas;
  • Delete the email address;
  • Block access to the mailbox;
  • Block receipt of emails;
  • Suspend email completely;
  • Access Webmail to check emails. Access is via the cPanel interface and no password is required to log in;
  • Access to a page showing the settings to be used for configuring email software, contacts or the Caldav/carddav calendar;
  • Mass deletion of emails using a filter search.

In short, this tool lets you configure and modify the configuration of an existing email address.

How do I use the Email Accounts tool?

cPanel allows you to create personalised email addresses for each domain name associated with the cPanel package. To do this, log in to your cPanel interface and click on the"Email Accounts" tab in the"Email" section.

The"Email accounts" page allows you to view all the email addresses created for your cPanel package. You can perform various actions on the email addresses, such as :

  1. Create (1): Displays the window for creating an email address;
  2. Check Email (2): Allows you to connect to your email address without a password in order to view your emails;
  3. Manage (3): Allows you to manage your email address, such as changing your password, modifying your quota, activating or deactivating certain restrictions, modifying your email account management method and deleting your account;
  4. Connect Devices (4): Provides information for configuring email addresses on software such as Outlook.

How do I create an email address on cPanel?

Click on the"Create" button to access the email address creation form.

The email address creation form contains several fields that need to be filled in as follows:

  • Domain (1): The domain field contains a list of all the domains configured on cPanel as Aliases or Additional Domains. Choose the domain name for which the email address is to be created;
  • Username (2): This is the email address you wish to create. Note that the domain name is already pre-filled, so all you have to do is fill in the first part of your address;
  • Password (3) : This is the password for the email address you are going to create. You can generate an automatic password by clicking on the "Generate" button behind this field;
  • Storage Space (4): You can define a quota for your mailbox or use the maximum quota;
  • Automatically Create Folder for Plus Addressing (5): Defines the behaviour to adopt in the event of plus addressing. Plus addressing allows you to dynamically create several variations of an email address by adding +something after the username. For example, if your main email address is contact@domaine.com, the email address contact+quelquechose@domaine.com will also respond, as will contact+autrechose@domaine.com. This can be very useful if you want to automatically sort emails by folder. In fact, if you create a folder called LWS, an email arriving at contact+lws@domaine.com will automatically be sorted into the LWS folder of your email address;
  • Send a welcome email with instructions to set up a mail client (6): If you tick this box, an email will be sent to the email address created with the configuration parameters to be used to set up your email client;
  • Create (7): Used to finalise the creation of your mailbox.

How do I manage an email address on cPanel?

You can manage your email addresses by clicking on the"Manage" button behind the email address in question.

How to use the Mail Accounts tool on your cPanel formula

This section allows you to perform the following actions:

  • New Password (1 ): Allows you to change the password for your email address;
  • Allocated Storage Space (2): Allows you to change the quota of your email box;
  • Restrictions : It is possible to apply certain restrictions to your various mailboxes, such as :
  • Receiving Incoming Mail (3): prevents new emails from being received on the mailbox in question;
  • Sending Outgoing Email (4): Prevents emails from being sent through the mailbox in question;
  • Logging In (5): Blocks the connection to the email address;
  • Automatically Create Folders for Plus Addressing (6): Manages the plus addressing we mentioned in the previous paragraph;
  • Update email settings (7): saves changes made to your email address;
  • Delete email account (8): deletes your email address;
  • Free up Email Storage (9): Launches the tool for deleting bulk emails using predefined rules;
  • Manage Email Filters (10 ): Link to the email filters tool;
  • Send Automated Responses (11): Link providing access to the Automated Responses tool;
  • Connected Devices (12): Displays the configuration available for your email software;
  • Configure calendars and contacts (13): Displays the settings for configuring the calendar and diaries (caldav and carddav).

How do you configure your email software?

By clicking on"Connect Devices" on the"Email Accounts" page, a page will display an example of manual configuration for setting up email software. The configuration information to be used is as follows:

  • Server name (IMAP, POP or SMTP): The server is mail.domaine.com. Domaine.com should be replaced by your domain name;
  • POP or IMAP: We recommend using IMAP. IMAP allows you to synchronise your emails with different devices, which is not the case with the POP protocol;
    • If configured for IMAP, the port will be 993 with SSL encryption;
    • If configured for POP, the port will be: 995 with SSL encryption;
  • For SMTP (sending server), the port is 465 with SSL encryption;
  • Authentication is required. The login corresponds to the full email address. The password is the one attached to the email address concerned.
